Online Family Archive: Keep the Story of Your Family, Not Just the Photos

An online family archive is not a cloud folder of photographs. It is a connected story of the family: who is who, what people remember and what has survived.

A family archive is often confused with a cloud folder where old photographs are dumped “just in case”. The difference is that an archive without context is only files. Two generations from now nobody will remember who is in the picture or why it mattered. A real online family archive links materials to people and stories instead of just storing them.

What to keep besides photographs

  • Documents. Birth and marriage certificates, passports, military ID cards, diplomas. Exact dates and places that relatives no longer remember are often found here.
  • Voice and video recordings. An interview with an older relative is worth more than any text: the intonation, the way of telling, details nobody thinks to write down separately.
  • Short stories and memories. They need not be long memoirs. A couple of sentences about a person is enough: what they did, what they loved, what role they played in the family.
  • Family medical history. Information about hereditary conditions can matter for future generations. Handle it with care and without self-diagnosis. This is reference information, not medical advice.

A photograph attached to a specific person in the tree stays understandable thirty years later: you can see who it is and how they are related to the rest of the family. The same photograph in a separate folder called “Old photos 2019” keeps no such link.

Who should have access

A family archive is rarely needed by one person only. Its value is usually that everyone who wants to can add their part of the story: one person has old letters, another has photographs from a date the others missed. Shared access, with control over what invited people can see, is what separates a family archive from a personal cloud drive.

It is best to start an online family archive already attached to the tree. That way the materials become part of the family story from day one, rather than a scattered collection of files that has to be sorted out again later.

Heritage AI works this way: documents, photos, recordings and stories are attached to people in your tree. Start here: /en. Plans are on /en/pricing.

Questions and answers

What is the difference between a family archive and a cloud folder?
A cloud folder only stores files. A family archive links each file to a person and a story, so it stays understandable years later.
What should I put in an online family archive?
Photographs, documents (certificates, passports, military ID cards, diplomas), voice and video recordings, short memories and, carefully, family medical information.
How do I organize family photos and documents online?
Attach each item to a specific person in your family tree, with a short caption: who, where, which year. Invite relatives so they can add their own part.
